2021 November Update
New in ToolboxWe recently released some big and small updates to your QSToolbox site. The biggest changes are a new 'Events' module and a calendar makeover. Adding records to the system is now easier with an expansion of QR codes and forms handling. Document approvals trigger a new due date and your training records data can now be viewed and exported as a Training Matrix. These changes are described in more detail below. There's also a list of various minor changes and bug fixes at the end of this article. |
New Events module and a Calendar MakeoverThe Calendar has had a makeover to show more information on each item and we've injected some colour! In case that makes you feel like a party, you can now schedule it on the calendar with the new 'Events' module. Events are good for things like a celebration, VIP site visits, group training events, or perhaps a company strategy retreat. Events have a 'Contact person' who can edit the information, and multiple 'Attendees' who all see the event on their work list and calendar. |
TRAINING MATRIX There's a new view option in the Training module to show a Training matrix. Search to find who you want to show. Export to Excel to send the info. |

More QR Codes for easier records collectionYou could already use a QR code to give easy access to asset information and records, e.g. on a vehicle dashboard. We wanted to make adding records even easier, so there's now a QR code to go directly to adding a record. You can preselect what the record is for within the QR code, e.g. add a 'Site Safety Inspection' record. You can even pre-select Form fields to apply to the 'Site Safety Inspection' record. This also applies to Contact records, Employee records, Register records.There's also now a QR code for directly adding an Issue or Incident. Post the QR code in the workshop to encourage reporting. If you're using 'Projects' to organise your data by location / department / project / etc, you can include that information in the QR code to have Issues or Incidents automatically linked to the right reporting entity.Just scan and fill and collect in QSToolbox! |
Adding recordsTo accommodate adding records by scanning a QR code, we moved the 'add record' fields from the bottom of the asset, to a new separate view. Look for an 'Add Record' button just above the list of records on the asset view (also Contact, Employee, Register). If you have requirements for your asset, there'll be extra buttons shown. When you're adding a record and want to add form fields, you now choose that at the top of the new 'Add Record' view. You can see the QR code icon next to "Add record". If the record should always include your custom form fields, 'Add Form to Record' first and then get the QR code, so the form selection is included in the QR code. I can now post the QR code on the Ferris Wheel, and the operator just has to scan the QR Code to easily add a 'Ferris Wheel Inspection' record with the custom 'Ferris Wheel Inspection Form' fields. |
Easier 'Next Review' Due Dates for DocumentsControlled documents are often reviewed periodically to ensure they are still current and relevant. This 'Next Review' date is set using the 'Due Date' field in Toolbox. It can mean other things. For a 'Pending' document, the Due Date is when you want the approval done by.Until now, there was no easy way for the Approver to update the due date when they approved the document. It was stuck on their work list until the Editor changed the due date. Now the approver can set the due date for when the document should next be reviewed, as they approve the pending document. The Editor can set a default review period for this document and Toolbox will use this to pre-fill when the next review should be. The Approver can adjust the due date if they want to. |
