Linking Content with Related Items

You can link content together in QSToolbox to make it easy to find the information you need.

For example, a procedure says fill in a form, an asset has an operators manual, a risk is monitored by a regular inspection.

When you're following the procedure, you can use the 'Related Items' link to easily get to the form you need to complete - without having to search for it. 

You add add multiple links to a content item - e.g. link the asset to the SOP, the service manual, the risk assessment, and the maintenance service provider. 

Whenever you add a link, it automatically works both ways. 

Related Items is only for linking content internally within QSToolbox. If you need to link to external content, you can add a URL link in a text field. 

Add a Related Item

To add new links, look for the 'RELATED' tab. Then below the existing links, you can start typing and Toolbox will return matching items. When you see the one you want, click to select it from the search results. 

This will add the item to a list and you can continue searching for other links you want to add. Each one will be added to the list. When you're done, click on 'ADD LINK'.

You'll see the Related Items listed in the top right of the view. If you have a large number of links, only some of them will appear up the top. To see all the related items you'll need to go to the tab. 

Filter Related Items

You can filter the types of related items you want to see (on the left above the related items list). The options you see will depend on the types of related items you have. 

Show Records

With 'Show Records' on the right, you can quickly see the current records for those related items.

This will be useful if you work on client sites and have to show the client all your service records for all the equipment on your vehicle. In Toolbox, add the equipment as related items to the vehicle. When you click on 'Show Records' you'll see the current service records for all the relevant equipment all in one place. 
You could also use this feature to see induction and training records for the employees of one of your subcontractors, or to easily check records of monitoring that you've set up as controls for a Risk.

Remove a Related Item

Just click on the trashcan icon for the link you want to remove. You'll see a confirmation message 'Delete Relation' that will show the content at both ends of the relationship and you'll need to click on "YES< DELETE!" to make it happen (or CANCEL to back out). 

This doesn't remove any content. It only deletes the link between the two items.
