2023 April Updates

Updates released this month include refreshed reporting with new chart formats, faster document retrieval with a new file download link on the register view, a new shortcut to make it easier to address training gaps with a training event, and more! See below for details of the following updates:

  • reporting refresh

Reporting refresh

The built-in reporting is getting a refresh with a new charts library. Incidents, Issues and Assets are first out and more will roll out across the different modules in the coming months. To have a look, go to the Assets, Incidents, or Issues module and switch over to the reports tab:
The chart data is based on what you have selected in your search filters (so watch out for the default to 'hide closed' issues and incidents) and will immediately respond to any changes you make.
Also look for the 'hamburger' menu to the top right of each chart to see options for printing and downloading the chart image, and exporting the chart data table:

New download shortcut on the Documents Register

W'eve added a download icon to the documents register that will immediately download the file for a released document, without having to first view the document. 
(TIP: combine it with your own saved collection (A, B, C tabs) for super fast information retrieval of the documents you need most often)

Maintenance Request from an Asset Inspection

It's not unusual to identify a maintenance issue (or two) when you're completing an asset inspection. We've made it a bit easier to track these with a new "Add Issue" button at the bottom of an Asset record. It's just like adding audit findings linked to an audit report in Registers, and is also now available for Contact records (e.g. a supplier evaluation).

Shortcut for Training Gaps

A common way to address competency gaps is with a training event, but when there's a bunch of people it was a hassle to add each person individually as an attendee to the Event in QSToolbox. Now there's a shortcut from the Competency view to add a training event, where everyone who needs training is automatically added as an attendee:

New Due Dates reports for Assets

There's two new list views in Assets that show all the due dates so you can plan the work to be done, or just check the status in more detail.
Look for the tab circled below in the Assets register, and also in the list of Asset Requirements.
If you want to see due dates for all of your 'Lifting Equipment' - search by asset type in the Assets register and switch to the due dates view. 
If you want to collect items in preparation for an external Calibration provider - search for 'calibration' in the Asset Requirements register, and switch to the due dates view:

More Risk

Risk Rating fields have been added to Issues, Contacts, and Assets to help identify and prioritise their management.
For example, risk ratings on Contacts let you differentiate between high risk suppliers who need close management and perhaps more frequent evaluations, and low risk suppliers (without needing to put risk into the contact type as we saw many people doing).
You can now search Incidents, Issues, Assets and Contacts by their risk rating, which means you can pop over to the reports tab in Issues to see a pie chart of risk ratings for non-conformance Issues reported this year, perhaps get a list of 'food ingredient' suppliers who have been rated as 'high risk' and hold a current 'organic certification': 

Minor changes and bug fixes

  • Filter the Calendar by tags
  • Formatting change so that 'number bubbles' are now only used when some attention is required, such as a task not done. If the number is only showing information, such as how many records, there's no attention-seeking 'bubble' format. 
  • The Asset and Contact view now shows current records by default, rather than 'show all'. This means you only see the most recent record for each Requirement. If the most recent record for 'Calibration' has expired, you'll still see that record in the default view, but not all of the previous records for 'Calibration'.
  • Tags at the top of each register view are now sorted alphabetically, instead of in order of usage. This will keep the order more consistent and make it easier to find the one you want to search with. It's still limited to displaying the top 30 tags that have been used in that module (but we recommend you have fewer than that anyway.)
  • Fixed a bug for Register repeat periods of over 2 years
