2022 April Updates
New in ToolboxWe recently released some updates to QSToolbox. The biggest changes are adding Issues from a Register Record (good for Audits and Inspections), and an expanded search capability for Employees, Contacts, and Assets. These changes are described in more detail below. There's a few other changes and you'll also find a list of tweaks and bug fixes at the end of this article. |
Link Audit Finding Issues to the Audit Report RecordAudit Findings go in the Issues module, and the Audit Report is typically stored as a Record in the Registers module. Previously you could only link an Issue to the Register, not to the individual audit report Record.Now you can create Issues directly from the audit report Record, and they're automatically linked. This makes it easy to see the status of all the linked issues, so it's the best place to show the auditor what you've done with the audit findings from the last audit. Read more on creating and linking Audit Findings At the other end of the link, when you're looking at the Issue, you can easily see where it came from. This new capability could also come in handy for things like reporting an Issue found during a Workplace Safety Inspection, or raised in a Toolbox Talk, or perhaps an Issue about a deteriorating trend in your monitoring data.

REVERSE SORTING ISSUES, INCIDENTS If you prefer to always see your Issues and / or Incidents with the most recent ones first, let us know and we can configure your site to reverse the default sorting in these modules. |

Search Employees by Competency(s) heldYou can now search in the Training module to find Employees who hold a competency (i.e. have a valid Training Record), along with the other Employee search options. You can also search for multiple competencies. Read more.e.g., Find a Site Supervisor with a valid record on file for Confined Space, tagged with VIC:
Search Assets, Contacts by Requirement(s) metIn much the same way, you can search for Assets or Contacts that meet a requirement (or more than one).e.g. Find me a Plumber in QLD with the necessary client Induction record, SPQ Induction:

See Gaps and Competencies for Multiple PeopleThere's a new extended list view for Employees to show the Competencies they hold and the ones they're missing. You can already see this for an individual, but the new list view lets you see that for multiple people at once. This data has also been added to the export. You can use all the usual search options to find the set of employees you want to see,e.g., Show all the 'Site Supervisors' in the 'Operations' team:

DEFAULT DOCUMENT REVIEW PERIOD Like to review a policy every two years, and a critical procedure every 3 months? Set a default review period for each document and when it's released, the suggested next Due Date will be calculated for you. Read more. |

Linking to Jobs, CompetenciesYou can now create links to Jobs and Competencies under 'Related Items'. It means you can link a 'Job' in the Training module to the official Position Description stored as a controlled document in the Documents module. You could also link to other documents relevant to this Job and have a useful resource for onboarding.
