Work Hours

To support calculation of injury frequency rates, you will need to enter monthly work hours data into QSToolbox. Data can also be imported from a spreadsheet template available in QSToolbox.

Work hours data is displayed in a chart showing yearly totals for the last 3 years, and another chart showing monthly totals with the 12-month rolling average:

To display the work hours charts for a previous time period, select the end month and year for the report.


Entering Work Hours Data

  1. Go to the Incidents module and click on "Work Hours". **
  2. Click "edit" under the month you want to enter work hours data for.
  3. When you are done with that month, click "save".

** If you don't see "Work Hours" in the Incidents module, please get in touch with our support team to enable it for you.


Importing Data

  1. Go to the Incidents module "Work Hours" section and click on "Download Excel Template".**
  2. Fill in work hours data, except for greyed out lines which will be calculated. (Don't make any other changes to the template.)
  3. Save and upload the file using the "Upload Excel Template" button, to bring in the data.

NOTE: Importing will overwrite exisiting site work hours data for the same month and year

When you download the export template, it will include any existing data with sheet protection turned on to avoid unintended changes. Turn off protection for the tab where you want to enter or change data.


Permissions

To enter or import work hours data, you will need to be a user in the "workhours_reporters" permission group.

All users can view the data.


Reminder email

All members of the "workhours_reporters" permission group will receive a reminder on the 3rd of the month to enter the work hours for the previous month end.


Structure

Work hours data is structured according to the "Sites" hierarchical vocabulary,

e.g., using business locations:

  • Parent
    • Child
  • NSW
    • Sydney
    • Dubbo
  • QLD
    • Brisbane
    • Townsville
  • WA

QSToolbox will automatically sum the total hours for all locations and the totals for each parent term, based on the hours entered for the child terms.

e.g., QLD hours = Brisbane + Townsville.


The work hours graph can be displayed at various levels by selecting a child or parent site, or all sites.


Configure the "Sites" vocabulary according to your reporting needs, e.g., one or more business locations, departments, worker categories (e.g. employees and subcontractors), or others as desired.

When deciding how to structure your Sites vocabulary, consider whether you will have work hours data available for the lowest level terms in each branch of the hierarchy.

(e.g., for the structure shown above, you'll need data for Child, Sydney, Dubbo, WA, Brisbane, and Townsville. Although 'WA' is at the same level as other parent terms, it doesn't have any child terms so it's the lowest level term for that branch)

Getting Started:

  1. Get in Touch with our Support team to turn on "Sites" for you if it's not already available.
  2. Configure your "Sites" vocabulary with one or more reporting terms in your desired structure.
  3. Import past monthly work hours data.

You'll see the work hours chart in the Incidents module under "Reports" and if you have already been tracking Injuries in the Incidents module, you will also see LTIFR, MTIFR, and TRIFR injury frequency rate charts.
